Job Description Summary JOB PURPOSE Based on the activities assigned by his/her hierarchy, the sales assistant is in charge of all commercial sales administration. He/she manages the administrative follow-up of customer orders, from the receipt of the purchase order to the completion of the order payment collection. He/she supports the sales teams in order to facilitate activity and contribute to the company's success customer satisfaction. Job Description SIGNIFICANT ACTIVITIES Order management - Check and enter data (orders, customer data, suppliers, etc.) into the business tool on the basis of information transmitted by the sales teams - Ensure the choice of financing method and the conformity of the file transmitted by the customer, and inform internal stakeholders in charge of invoicing - Place additional orders with suppliers, as required (documentation, equipment, etc.) - Inform assembly teams of material preparation and delivery deadlines, and pass on information to customers and sales teams - Order transport from service providers (deliveries, returns) - Trigger the equipment commissioning request in the business tool and transmit the request to the customer information for sales teams - Prepare and send invoices (sales, etc.) to customers or financing organizations, where applicable - Check and allocate supplier and customer invoices and internal transfers - Monitor and control sublease files and contracts, where applicable - Control and analyze margins after invoicing Opportunity - Check conformity of purchase invoices - Research and propose available materials to the sales force - Monitor occasional stock management within its perimeter (updating stock management tables and tools, distribution on dedicated platforms, etc.) - Process material trade-in invoices in collaboration with the accounting teams - Quote service contracts, where applicable, and charge them to the business case Administrative management - Check payment of customer invoices in the business tool - Contribute to sales collection (payment follow-up, customer calls, credit committee, etc.) - Process any customer requests (certificates, proforma invoices, etc.) - Draw up commission and/or bonus vouchers for sales teams in the business tool - Update sales monitoring dashboards Commercial management - Organize internal and external events (open days, etc.) in your sector - Monitor promotional and demonstration budgets and inform line management of any risks of deviation RESPONSIBILITIES AND SCOPE FOR ACTION - Ensure administrative processing from receipt of purchase order to payment collection - Ensure the reliability and quality of data entered into the business tool - Be a privileged contact for sales teams and customers - Ensure the control and monitoring of sales team commissions - Know and apply internal and external compliance procedures and rules PROFESSIONAL KNOWLEDGE Diploma(s) and/or experience(s) 2 years' higher education in sales or administration and/or 2 years' significant experience preferred Specific knowledge(s) Technical skill(s) - Professional administrative knowledge - Professional knowledge of sales (customer relations, etc.) - General knowledge of IT tools and information systems - Advanced elementary level in English (A2) Behavioral skill(s) - Interpersonal skills - Active listening - Organizational skills - Responsiveness - Autonomy
